November BESA Meeting Minutes

  • Coffee hour
    • 2 this month
    • 30 people per hour
  • Retreat
    • 35 people with some last minute changes
    • Should we do it again?
    • Maybe do an informal poster session before BMES instead?
      • Call it the “Fall Conference”
    • Halloween lunch
      • 58 people signed in but there were more that did not and more that were not from BESA (randoms wanting free pizza)
      • Ran short on pizza due to people from a let out seminar and people taking too much pizza (4+ slices at a time)
      • Need to set-up earlier the day of or be more straight forward that people waiting early will have to wait
      • For future events, setting up the day before Halloween is better than the day after (too many people going straight to Christmas hype the moment the sun rises on Nov. 1st…)
      • Could aim for 2202 or 4202 for rooms
        • Could isolate us more from those not taking part with the event but grabbing food anyways
        • Reserve rooms anyways and if not bad weather, we can be outside
        • Tupper hall lobby could also work?
  • Apple Hill and Corn Maze
    • Only 1 food truck was there with no vegetarian option
      • Was not like this last year. Unfortunate outcome
      • Need to move up to earlier October so there are actually apples
      • Or shift focus away from actual apple picking to other events if it ends up being late
    • Corn maze had low turn-out
      • The budget was moved to apple hill
      • Corn Maze should be moved up to late November, but there are many events already in September and October as the quarter starts
    • Suggested if Apple hill moves up, it could replace corn maze
  • Mentor Program
    • Event in December?
    • Movie night from 6-9pm in GBSF
    • Need to make sure it is clean after we leave
    • Could go to Owl Brew for trivia after (9pm)
    • Message Emmet for more information
  • Meetings
    • Meetings will be regular, per the quarter
      • 2 – 3 pm first Tuesday of every month
        • December 4th
      • Scheduling next quarters meetings
        • When is good to come before next meeting
  • Website
    • Direct all website updates to Dustin
    • BESA Secretary will be taking on more website upkeep responsibilities
  • Refill off-shore
    • BMEGG pint glasses to start sale in December.
    • T-Shirts –
      • Outcome of poll has been decided. Results to be sent out shortly
    • Business Cards
      • 5 ordered
      • Could use an ordering demo at some time
  • Student Presentations starting in January
    • Date, time, presenter?
  • Student Faculty Luncheons
    • Start in December
    • Which lab is starting?
      • Panitch?
    • New layout/things to address
      • Talk by 1-2 labs for 20 minutes total with 10 minutes for questions
      • Schedule months in advance with PIs
        • 2nd Wednesday of each month
        • Book room through June
      • Organization team includes lab to be presenting
      • BESA gets food, lab gets other stuff if desired
      • Same budget as current lunches
    • November is same as usual
    • Holiday party to be determined
  • Coffee Hours
    • In collaboration with BMES (undergrads)
      • Can get more coffee than usual
    • Friday, November 30 1 – 2 pm GBSF 4202
    • December will try to be with staff
    • Coffee hours have been good at replacing meeting with faculty compared to the luncheons
  • San Francisco Trip
    • Date: Saturday, November 17
    • Tentative Schedule
      • 9 a.m. – Carpools meet at GBSF
      • 11 a.m. – Meet at Golden Gate Park Round House Café
      • 1 p.m. – Lunch at the Ferry Building Marketplace
        • Everyone gets what they’d like to eat
      • 2:30-5:30 p.m. – Exploratorium
      • 3:30-4:30 p.m. – Tactile dome for those that signed up
      • 6:30 p.m. – Dinner at Boudin’s in Fisherman’s Wharf
      • Walk or take Muni public transportation
      • **Looking for an alternative restaurant in Embarcadero area in case it is a rainy day**
    • Trying to avoid driving
    • Barrel head is a good place to park
      • Takes reservations
    • Need 50% deposit for Exploratorium
    • Money to throw at trip? Sure, from retro t-shirts
  • BMEGG Monthly Newsletter
    • There has been a lot of improvement in sending me BESA events for the newsletters.
  • BMEGG Symposium
    • Date and location are set: April 26, 2019 at the UC Davis Conference Center
    • Elliot Botvinick from UCI!
    • Data and speaker is set
    • Will need more assistance closer to April
  • Therapy Dogs
    • Monday, December 10 from 12 – 2 p.m. outside GBSF
    • No cost for the event, but a donation would be appreciated (they have an Amazon wish list if that is easier than sending money)
    • Can BESA donate or will this need to be on an individual basis?
    • Dogs are adoptable
    • Can arrange a volunteer date to help clean
  • Cabin Trip
    • Booked and people signing up
      • 18 signed up; 7 spots free!
    • Probably won’t need to set-up a second cabin
  • Camping trip is probably to be May 17th
  • Outreach
    • Thanks to all participating in undergraduate mentoring and the Antelope HS design project e-mentoring!
    • BMES/BESA Mentor+Mentee Coffee Hour: Friday November 30th. GBSF 4202 1-2pm. All BME graduate students welcome regardless of whether you have a BMES mentee.
    • Look out for an email sometime this month about another (more general) e-mentoring opportunity through Sheldon HS (the students email with questions ~once a week for this one), this program starts in January
    • Thanksgiving day volunteering: St. Martin’s Episcopal Church: Thursday November 22th 8:30-11:30am.
